HIPAA Compliance

Delta Dental of New Jersey (DDNJ) provides all claims processing and member services for group clients on an insured or Administrative Services Contract (ASC) basis. Our products and networks are structured to provide additional cost containment protections to members who use the Delta Dental Participating Dentist networks. We continuously monitor changes in the law and industry practices to protect the privacy and security of our members’ personal information.

I am Delta Dental of New Jersey's HIPAA Compliance Officer. DDNJ is actively involved with the National Delta Dental Plan Association's External Standards Committee, is a member of the Workgroup for Electronic Data Interchange (WEDI), the American National Standards Institute (ANSI), and the National Dental EDI Council (NDEDIC).

In reference to the privacy provisions of HIPAA, please click here for a copy of our current Notice of Privacy and Information Practices. We have analyzed the flows of Protected Health Information (PHI) within our organization as well as the minimum necessary provisions and have established our policies and procedures designed to comply with the law.

We identify our Business Associates and send Business Associate Agreements to each entity that receives PHI. We also execute Business Associate Agreements with our self-funded group clients that we provide services on an administrative services contract basis. Please contact us if you are a group that we provide you with administrative services and you do not have a Business Associate Agreement with us. In addition, all clients, whether self-funded or insured, complete and Authorization Form Granting Access to PHI. Please contact us if you have not completed this form or wish to update any of its information.

To meet the training requirements of HIPAA, each employee who is required to have access to PHI receives awareness training on HIPAA and training regarding privacy policies and procedures appropriate to his/her job. We also have a process in place to issue notifications for Breaches as required by the HITECH Act. Our Privacy Officer is Paul J. DiMaio.

We are compliant with the most important HIPAA transactions requested by our Trading Partners. We are also in the process of making the necessary changes to comply with the additional standard transactions as may be used by our Trading Partners by the implementation dates required under applicable regulations.

We comply with HIPAA’s security requirements, including disaster recovery, shredding of documents, secured access to systems and physical location. We have also instituted security PINs and authentication procedures for all communications received into our organization. Our Security Officer is Roota Almeida, Assistant Vice President, Security.
